Southlanders Minutes

17th February 2009 7.05pm Milward Court, Wilmot Road.

In attendance:

Andy Bray, Barry & Vanessa Thompson, Martyn Warren, Michael Dixon, Keith Humphrey, Len & Catherine Brett-Sinclair, June Gibb, Dora Mitchell, Steve Brazier, Mary Proctor, Jane Slater, Peter Berry, Ann Thayer.

Minutes from previous meeting held 27-01-09 were passed and then proposed by June and seconded by Dora, signed by the chairman.

A Mrs Scully from 49 Buci Crescent has offered to deliver the minutes and/or newsletters in the future.

Matters arising:

Noise from bus shelter Andy has no new news, but will speak to Paul Graysmark.

Little Green Monsters / Allotment - Catherine spoke to the meeting about concerns from the local allotment holders, regarding key holders. Andy assures the meeting that all people will be checked CRB etc., no-one will be allowed access, it will be under strict control of the trained horticulturist, and it will not be left open. There will only be one key issued and it will be strictly controlled, if any more are required they must be obtained from the council. Andy would be happy to print off bullet points for allotment holders and letter of introduction from Southlanders. In March members will be asked to take on the roles required on the allotment. The 4th of April is the Celebrity Potato Planting launch to open officially the allotment.

Martyn - Joan Spears at B & Q, is happy to help provide seeds/flowers/tools etc., in support of the project and Southlanders.

Andy - Also the Rotary are happy to sponsor the project with seeds for the next 3 years.

Martyn - Day trips:- Barclays Bank to open savings club account but needs 2 signatures. He has confirmed prices and those who want to save can do it over the counter at the Cafe and then funds will be transferred to the savings account, but not directly involving the treasurer, but it will if it goes into the till, let's set up as a separate cash box in the Cafe and a receipt issued.

We must confirm by 25th Feb if we want the trip to Germany in December, date is still to be

Confirmed and a £200 deposit is required.

We need to have 44 people to make all trips run at not a loss.

Marwell Zoo will not include entry into park.

Gun Wharf Quays & Tower, Martyn to ask if we can get a reduction for a group booking to

visit the Spinnaker Tower.

It was decided to cancel the December trip to Germany.

Do a Christmas market trip - but suggestions reqd.

Yes to Oostende trip in May.

Cancel Marwell trip in June - 3 for, 4 against.

Yes to Newbury Trip in July - 7 for.

Yes to Gun Wharf Quays in September - 9 for.

Car Boot Sale - 15th August - to be shared with Shoreham & Southwick CAB.

Did try to get Holmbush for Easter Sunday, but was a resounding NO from Holmbush centre

manager George Watkins.

Martyn did have some good news, with the prospect of getting the car park of Shoreham

Railway Station for April 12th Easter Sunday, 8am to 1pm, charge £8 per car and limit spaces

to 200 cars, needs Insurance public liability, brilliant idea, great.   Risk assessment to be

carried out (look on B & H website).   We will offer the Railway Station £120 donation to

Their chosen charity, and we must clean up afterwards.

It's a definite no from B & Q and Halfords car parks for the same day.

Pocket parks - no new information, keep on as an agenda item. Notice boards - brochure available, ongoing project.

Panto - June Gibb gave her report on the outing.  Thoroughly enjoyed by all who attended, she wrote a Thank you letter on Southlanders behalf and said that we all look forward to the next production from Adur Theatre Co., just like the Panto at the Opera. Thanks to June for writing the letter.

Andy - payments are being made directly in the account.

Producing monthly accounts.

Bank Reconciliation.

Ann should be fully operational by next month, and a job spec., to be issued to define her

role.

Funding bid for £3,000 to extend Cafe opening hours to 3 days a week. £9,000 for gardening project.

Mark Slide - B & H A free half term holiday football club at Quayside, 1pm to 4pm actually

only Monday and then other venues during the week - ADC football cage this week on

Parklands Open Space, 20 children of mixed abilities and is on for 6 weeks, 4.30 to 6pm on

Tuesday.  Catherine mentions that it is too near the residents of Milward Court.   Steve will

mention this next week and ask for the cage be moved over to the other side of the field.

Steve and 4 others are attending B & H sports leadership course and health for life level 2, for

ages 7 up to 16, being taught by people that started in the same teams years ago.

Congratulations to King George United for their successes in recent matches.

Thanks were given to Steve and Lisa from Catherine and thanks for Andy for his support etc.

Andy to attend an official presentation of cheque from the Police at 4.30pm on 24th February '09.

Peter told the meeting that the gentleman who did a lot of work for the Sunday league passed away this week.

Youth Shelter - Vanessa noted that a Youth Shelter has been erected in the park at Cowfold and it would be a suitable structure to perhaps replace our ambitious project for a youth shelter on Parklands open space. It would be a lot cheaper and smaller than what we first had designed. This could be better supported by Matt and the youth at Quayside, perhaps funded by the Youth opportunities scheme, where the young people have to fill in the forms.

Steve suggested he get 2 members of the football club and liaise with their friends to support and encourage, the idea is great.

Barry suggests Steve liaise with Matt to find 2 young people to talk with the committee.

Letter of resignation received from the Secretary to the Chairman and Southlanders committee.

Thanks were given from Ann and the rest of the committee to Vanessa.

Thanks to Steve for football on Saturday, no bad language was heard by Catherine and she felt a well done was deserved.

Andy - Adur East Lions invitation to attend their Annual Charter Anniversary Dinner on 10th April, £25 at the Yacht Club in Shoreham.

Ann - has had concerns brought to her attention about the money raised from the book swap at the Cafe. So she tells the meeting that a charge of 20p is made and the proceeds are divided between Fibromyalgia charity and the Cafe. At Christmas there was £20 which has been divided out between the 2 groups, £5 of which has been used for raffle prizes.

The committee feel that this is a worthwhile cause and are happy for Ann to continue with this project. Thanks were given to Ann for all her hard work with the collection/book swap etc and raising funds for such a worthy cause, well done.

Summer Fair:- 5th September '09 12 noon to 4pm, set up Sam onwards.

Due to the resignation of the secretary someone is needed to organise the event. Steve offers

to step in, with help from other committee members.

Andy gives updates on projects etc., please see attached report.
